Nominations for Board members close at 23.59 pm on April 30, 2024.

The Weston-super-Mare RFC Annual General Meeting will be held in the Clubhouse on Thursday, May 9, 2024, starting at 7.15 pm

The AGM is vital so that key roles can be filled and nominations for membership of the Board are now open.

Completed nomination forms must be with the Board Secretary no later than 23.59 pm on April 30, 2024.

If you would like to be more involved or have a particular skill you think could be put to good use now is the time to get nominated.

Please note you must be a paid-up member to stand, propose, second or vote.

Please DO NOT propose anyone without their permission!

You may only be nominated for one position. A completed nomination form is required for all positions.

The AGM is NOT an open forum! If there is something you would like to discuss, then please contact the Board Secretary to see if it is possible to add to the Agenda.

Nominations are sought for:

President
 The welcoming face of the Club sets an example that influences the way the Club is perceived and represents the Club at internal and external functions.
 Provide advice and assistance to any of the Board members, as required.

Chair
 Oversight and development of the Club’s strategy.
 Lead the preparation and implementation of the annual business plan and facilitate its achievement.
 Note that nominees for the position of Chair must have been a member of the Board (or previous Management Committee) for 3 out of the last 5 years.

Secretary
 Management of the Club’s governance
 Deal with correspondence with the Club from external bodies and individuals.
 Organise schedule of meetings, collation of reports, preparation of Minutes of Board meetings, and maintain records.
 Organise annual Awards dinner, preparation of Trophies
 Manages compliance to the Club’s policies and processes

Finance Director
 Responsible for the financial strategy and direction of the Club
 Approval and management of investment decisions and cash flow e.g. Commercial lets.
 Sub function includes day-to-day treasury management & financial audit including Bar, catering and IT.

Director of Senior Rugby
 Responsible for the coordination of senior rugby decisions
 Management of playing of rugby budget
 Sub function includes all senior coaching team and associated roles such as medical and kit personnel.

Minis, Juniors & Roses Director
 Responsible for the overall direction of Minis, Juniors and Roses playing of rugby including coordination of rugby decisions.
 Management of playing of the Minis, Juniors, and Roses rugby budget
 Sub function includes Minis, Juniors, and Roses coaches.

Commercial Director
 Responsible for brand development and marketing of the Club including social media.
 Approval of marketing decisions
 Sub function includes Marketing, Membership, Fundraising and Social

Director of Grounds and Facilities
 Responsible for the management and maintenance of the Club’s existing facilities
 Sub function ensures the facilities are available to the appropriate standard when required e.g. match days.

Director of Ground Redevelopment
 Responsible for the transition from the current ground/facility to the new development including detailed design and implementation planning.
 Liaise with other Board members to secure opportunities in terms of the strategic commercial ambition of the Club.

Nominations for non-Board roles - Membership Secretary, and Safeguarding Officer - are also invited.

Membership Secretary
 To help the club prosper through sustaining and growing the membership by actively encouraging new members to join and taking responsibility for managing existing club memberships.
 Support the drive for new membership
Take the lead on ensuring new members sign up as paying members, and make sure the process for sign up is concise and simple.
 Manageandpreservecurrentmembership
Manage everything to do with memberships, including types, subscriptions, renewals and incomes, ensuring that membership fees are paid and relevant records are kept.
 Take responsibility for record keeping.
Keep the membership database and the Game Management System up-to-date and ensure that all relevant financial documentation for membership is stored securely.

Club Safeguarding Officer (CSO)
 The CSO is responsible for championing the safety and welfare of all children and adults at risk at the club.
 Every person at the Club has the responsibility to adhere to their safeguarding duties, as per the Rugby Football Union (RFU) Safeguarding Children Policy and Regulation 21.
